  1. You’re Booking with Elite Global Tours FZE

A booking with Elite Global Tours FZE exists as soon as we issue a ‘Confirmation Invoice & Itinerary’. This will be provided after we receive your full payment and confirm all elements of your trip. Your booking is subject to these Terms & Conditions, and by agreeing to them, you confirm that you have the authority to accept these conditions on behalf of all individuals named on the booking form.

  1. Paying for Your Trip

When you make your booking, you must pay the full cost upfront. If an additional payment is required for exclusions, you will be informed prior to confirming your trip.

Failure to make full payment on time may result in cancellation of your travel arrangements.

  • Quotes are valid for 7 days from the date issued and may be subject to change due to fluctuating costs.
  • Supplier rates may be in various currencies (EUR, AED, USD). Once a currency is agreed, it will remain fixed for your booking. No currency surcharges or reductions will apply after confirmation.
  • Any additional services added later will be costed using the exchange rate on the day of the change.
  • Refunds, if applicable, will use the original exchange rate agreed.
  1. If You Cancel Your Trip

  • Permits or international flights paid upfront are non-refundable.
  • If cancellation is covered by your travel insurance, we can issue a cancellation invoice to support your claim.
  1. If You Change Your Booking

If you wish to make changes after receiving your confirmation invoice, we’ll do our best to accommodate your request. Changes must be requested in writing by the lead passenger. An administration fee of USD $100 per person, plus any incurred costs, will apply.

Note:

  • Some arrangements may not be changeable and could incur up to 100% cancellation charges.
  • Changes requested within 90 days of departure may be treated as cancellations.

You may transfer your booking to another person who meets the travel conditions by notifying us in writing at least 7 days before departure. Both parties will be jointly liable for all costs incurred in the transfer.

  1. If We Cancel Your Booking

We reserve the right to cancel all or part of your booking due to unforeseeable circumstances. We will not cancel less than 90 days before departure unless forced by unavoidable and extraordinary circumstances (e.g., war, terrorism, pandemic, natural disaster, etc.).

If we cancel and a refund is due, we will also pay US $250 per person in compensation, except in cases of extraordinary circumstances.

  1. If We Change Your Booking

(a) Price Changes

The price of your trip may only change due to:

  • Fuel costs
  • Taxes/fees from third parties (e.g., landing or embarkation fees)

No price change will occur within 20 days of departure.

If the price increases by more than 8%, you may:

  • Accept the change
  • Choose an alternative trip (and receive a refund if it’s lower in cost)
  • Cancel for a full refund (excluding amendment charges)

Any reductions due to the above changes will be refunded, minus admin expenses.

(b) Other Changes

Minor changes (e.g., flight time changes under 12 hours, aircraft type, or hotel upgrades) do not entitle you to compensation.

  1. Our Liability to You

Please inform us without delay if any part of your package is not provided as agreed.

You may be entitled to compensation or a price reduction if the failure to deliver the agreed services affects your travel experience.

We are not liable if:

  • You or another party member caused the issue
  • The issue was due to unforeseeable third-party actions
  • Extraordinary circumstances apply

Our liability (except in cases of death, injury, or illness) is limited to three times the cost of your travel arrangements and subject to the relevant international conventions.

If you’re stranded due to extraordinary circumstances, we’ll cover up to 3 nights of suitable accommodation—more in special cases (e.g., persons with reduced mobility, unaccompanied minors).

This clause does not apply to third-party excursions or activities.

  1. Complaints

If you encounter a problem, report it immediately to the supplier or Elite Global Tours Manager using the contact provided before departure.

If unresolved, email your complaint to [email protected] within 28 days of your return. Include your booking reference and relevant details. Failure to report issues during your trip may reduce your compensation rights.

  1. Additional Assistance

If you require help during your trip, we will assist with:

  • Medical support
  • Contact with consular services or authorities
  • Help arranging alternatives

Any costs incurred must be paid by you or reclaimed from your insurance.

  1. Medical Conditions, Disabilities, and Special Requests

Please inform us before booking if you have any medical conditions or special needs. Some destinations may not be suitable, and we reserve the right to cancel bookings that cannot be accommodated.

We will pass on special meal or service requests to suppliers, but they cannot be guaranteed.

  1. Excursions

Any excursions or tours booked during your trip are not part of your package with us. Your contract will be with the excursion operator, and we are not responsible for their provision or any incidents.

  1. Documentation

Check all travel documents carefully upon receipt. Notify us immediately of any errors. Amendments made later may incur additional costs.

  1. Your Responsibilities

You are responsible for:

  • Reviewing travel advice from official government sources
  • Meeting all visa, passport, vaccination, and immigration requirements
  • Ensuring timely check-in and attendance for all pre-booked services

No refunds will be issued for missed components due to your own oversight. Please be aware that African travel involves inherent risks (wildlife, illness, environment). These are accepted at your own risk.

  1. Insurance

It is mandatory for all clients to purchase adequate travel insurance. Failure to do so may result in trip cancellation.

  1. Law and Jurisdiction

This booking is governed by UAE Law and subject to the jurisdiction of UAE Courts.
